HVAC

HVAC pricing software for small service shops

HVAC pricing software applies your labor rate, parts markup and rounding rule to every task so each price is calculated, not guessed. TierMenu keeps your costs and margins private while technicians see only the sell price.

Who it is for

HVAC owners who want markup tiers, rounding, member pricing and bulk rate changes in one place.

Not a fit if

You want the software to pick profitable prices for you. TierMenu calculates from your inputs and does not recommend rates.

Markup tiers, rounding and member pricing

Markup tiers let a low-cost part carry a larger multiplier than an expensive one, which is how most shops think about parts. Rounding turns the calculated figure into a number a customer reads easily: nearest dollar, nearest five, or ending in nine. Member pricing is a single discount rule, applied to eligible tasks for customers with an active maintenance agreement. Bulk changes let you move the billable rate or a cost and see a preview of the new prices before anything is saved. Costs are hidden from technician accounts, so the person at the door quotes the price without seeing how it was built.

Put pricing rules in one place

Set the billable labor rate, burdened labor cost, material markup tiers, default tax settings and rounding rule that your business has chosen. A consistent rule set helps you create tasks from the same assumptions instead of maintaining separate formulas in a spreadsheet. The owner can review the cost and margin breakdown; technicians see the sell price and the customer-facing work description. TierMenu does not choose a profitable rate for you or guarantee a result. You are responsible for deciding whether each input matches your costs, market, tax treatment and service model.

Make changes with a preview

When the labor rate or markup rules change, formula-priced tasks can be recalculated from the updated settings. A bulk change should be reviewed before it is applied: compare the prior price, proposed price and cost assumptions, then confirm that the change still reflects the defined work. Manually priced tasks need their own attention because they do not follow the formula. Keep the review focused on the affected category instead of changing every task at once. TierMenu's preview helps owners see the proposed effect before committing a bulk billable-rate update.

Separate company economics from customer presentation

A good field tool can show the technician the price without exposing the shop's private cost inputs. TierMenu keeps markup tiers and burdened labor cost restricted to authorized roles. Customer-facing task descriptions explain the work, while internal assumptions support the owner’s decisions. This role separation is useful when a technician is discussing alternatives at a home and should not be interpreting margin data. It does not replace management review: set permissions deliberately, keep owner accounts secure and confirm which team roles can edit the price book.

Connect pricing to the quote workflow

A price is more useful when the technician can turn it into a clear proposal. Select tasks from the price book, group them into one or more options, mark a recommended option and add optional work separately. The homeowner can approve and sign on the device or through a link. The approved selection and signature are retained with the proposal and can support the follow-on invoice workflow. TierMenu does not process homeowner payments, schedule calls or sync with accounting in this version; invoices include the company's payment instructions.

Know when the software fits

TierMenu is intended for small HVAC, plumbing and electrical shops that price service and replacement work and need a straightforward way to present choices. It is not a dispatch platform, inventory system, payroll product or commercial estimating tool for plan takeoff. If your process depends on those features, keep your existing systems in place and assess TierMenu only for pricing, proposals, maintenance agreements and simple invoices. Before adopting any pricing tool, test representative tasks, check role access and confirm that the resulting customer scope matches how your technicians actually perform the work.

Validate the setup with a representative task

Choose an HVAC task the team quotes often and trace it from its assumptions to the customer view. Confirm that the labor time describes the work you intend to include, then verify that parts and markup settings match your purchasing and pricing policy. Ask the owner to inspect the cost breakdown and a technician to find the task without seeing private values. Create a draft proposal and review the description, option placement and total. If any step requires an explanation missing from the task, improve the setup before copying the pattern across the book. This test does not establish that a price is right for every company; it confirms that your own rule is applied as intended.

How it works in TierMenu

  1. Step 1

    Set the rules

Enter your billable rate, burdened labor cost, markup tiers, tax and rounding.

  2. Step 2

    Price tasks

Add hours and parts. Formula-priced tasks recalculate whenever the rules change.

  3. Step 3

    Apply changes safely

Preview any bulk update, then apply it. Manual prices stay untouched and are flagged.

FAQ

Does HVAC pricing software set my hourly rate for me?

No. You choose the billable rate, cost assumptions, markup rules and rounding. TierMenu applies those settings to formula-priced tasks and shows owners the breakdown so they can review their own numbers.

Will changing the billable rate update every price?

Formula-priced tasks recalculate from the new settings. Manually priced tasks remain manual, so include them in a separate review. Preview proposed bulk changes before applying them to the live book.

Can technicians see labor burden and markup?

No. Owner-only cost and margin values are not included in the technician settings response. Technicians can use the task description and customer price needed to prepare a proposal.

Does it include HVAC dispatch or accounting?

No. TierMenu covers pricing, proposals, maintenance agreements and simple invoices. It works alongside your current scheduling, dispatch, accounting, payroll and inventory tools.

Can I use it for equipment replacement quotes?

Yes, for small service and replacement quotes. Build tasks and proposal options around the scope your company offers. TierMenu does not perform commercial plan takeoff or engineering calculations.
