HVAC estimating software and app for service and replacement work

HVAC estimating software for service shops builds a field estimate on a phone or tablet from your own price book. TierMenu covers service and replacement estimates; it does not do load calculations or plan takeoff.

Who it is for

HVAC technicians and owners who price repairs and replacements at the home and want options, photos and a signature from the same screen.

Not a fit if

You need Manual J loads, duct design or commercial takeoff from drawings. Use the free heat loss calculator for a quick estimate only, and a proper design tool for sizing.

What an HVAC estimating app does and does not do

TierMenu is an estimating app in the sense that matters on the service call: pick the customer and equipment, add priced tasks, group them into options, attach photos and send or present the result. It is also available as an estimating app on a phone, because it runs in the browser and fits a small screen. It does not size equipment. For a quick sanity check on heating needs, try the heat loss calculator, which is labeled as a simplified estimate and not a Manual J load. Equipment selection, duct design and plan takeoff belong in tools built for them.

Start with the customer and the service location

Choose the right customer record and confirm the service address before adding work. HVAC companies may serve the same homeowner at more than one property, so the location matters to the description, proposal PDF and follow-up. Capture the symptom or requested work in the appropriate customer record, and separate equipment facts from assumptions. Do not estimate a replacement configuration from a product name alone when the scope depends on a site assessment. TierMenu supports customer and location records so a proposal can be tied to the place where the work is planned.

Build the estimate from defined tasks

Search the price book for tasks that match what the technician has observed. Review each customer-facing description and include only work the company has actually priced and intends to offer. If several tasks form one repair, add them separately so the homeowner can understand the scope. When a replacement has several valid configurations, use separate options rather than combining unlike items in one line. TierMenu calculates formula task prices using the company's labor rate and material markup rules; owners can review margin while technicians see the customer price.

Explain alternatives clearly

The estimate should make it easy to see what changes from one choice to another. Use a recommended option only when the technician can explain why it fits the customer's request and site conditions. Add optional accessories or related work as add-ons, not as hidden requirements. State exclusions and assumptions in the proposal description or terms so the customer can tell what is not included. Avoid presenting equipment performance claims, rebates or financing terms unless your company has verified the supporting details and the terms are current.

Review before sending and signing

Before presenting, check the customer, service location, task list, option labels, recommendation, add-ons, taxes and expiration date. Read the text as the homeowner will see it. Present the options on the device or send a remote link for review. TierMenu records the selection and signature and stores the signed proposal PDF. A signature records approval; it does not guarantee payment or replace other required notices. If the work changes after signing, create a revised proposal or change order and preserve the original approval record.

Know which calculations belong elsewhere

A quoting app can organize the estimate, but it does not determine equipment sizing or validate engineering assumptions. Use the appropriate field calculator and professional review for calculations, then confirm the result against the property and applicable requirements. TierMenu is intended for service and replacement quotes and small jobs. It does not perform takeoffs from commercial blueprints or sync automatically with dispatch, accounting, inventory or payroll. Keep those systems in your workflow and use TierMenu for pricing, proposals, agreements and simple invoices.

Make the estimate easy to verify after the visit

Include enough detail that office staff can understand why the estimate was prepared without asking the technician to decode it. Confirm the service address, equipment description where relevant, observed condition, selected tasks and customer questions. Separate a diagnostic step from work that depends on its result. If a replacement configuration needs a load calculation or other review, do not use the estimating app as evidence that the technical decision is complete. Save the proposal with an unambiguous option name and review the signed PDF when approval arrives. That record makes follow-up and invoicing more consistent across the office and field team.

FAQ

Can I create an HVAC estimate on a phone?

Yes. The price book and proposal workflow are designed for field use on a phone or tablet. Confirm the customer, location, task scope and totals before presenting the estimate.

Does the app calculate HVAC load or equipment size?

No. TierMenu's estimating workflow does not replace load calculations or engineering review. Use suitable calculation tools and professional judgment before deciding which equipment belongs in a proposal.

Can the estimate include several replacement choices?

Yes. Create distinct proposal options when the site assessment supports them, explain the difference in scope and mark a recommendation when appropriate. Optional add-ons remain separate from the selected option.

Can a homeowner sign remotely?

Yes. Send a proposal link for remote review and signature. TierMenu saves the selected option and signed PDF with the proposal record.

Is this for commercial estimating?

No. It supports service and replacement quotes and small jobs. It does not take off quantities from commercial plans or manage large construction bids.
