Who it is for
HVAC shops with recurring tune-up customers who want a clear plan, a visit schedule and renewal dates in one list.
Not a fit if
You need automatic card billing or route scheduling. Payments are tracked outside TierMenu and visits are a service record, not a dispatch board.

Plans, visits, renewals and reminders
A plan is a named offering with a price, the services it includes, a term and one to four visits per year. Enrolling a customer generates the next twelve months of visits at the cadence you choose. The office sees visits due and overdue, active members, and agreements close to renewal. Reminder emails go out a set number of days before each visit, or you can turn them off, and every homeowner can unsubscribe. Member pricing is applied on proposals automatically while the agreement is active, so a technician does not need to remember who qualifies.
Describe what the agreement includes
Write plan names and customer-facing descriptions that say which equipment is covered, how many visits are included and what the technician is expected to perform at each visit. Keep repair work and other services outside the plan clearly identified. If a customer benefit has conditions, describe those conditions instead of relying on a sales conversation to explain them. The document should not promise that maintenance prevents every breakdown or guarantees a particular efficiency result. Use terms your company can deliver consistently, and have a qualified person review any legal wording against the requirements where you operate.
Set a schedule the office can manage
Choose the agreement term and visit cadence your business actually intends to honor. TierMenu generates scheduled visits from the plan, allowing office staff to see what is due and whether a visit has been completed or skipped. This schedule is a service record, not a substitute for dispatch or technician routing. Keep the customer's equipment and service location accurate, review the due dates after creating the agreement and make sure the visit count matches the written plan. If a visit is rescheduled or not performed, record that clearly so renewals do not rely on guesswork.
Create agreements from approved proposals
A maintenance plan can be included as an option or add-on in a proposal and converted into an agreement after the customer approves it. Starting from the proposal helps carry forward the selected plan and customer context. You can also create an agreement directly when a customer is already enrolled or the plan is sold outside a proposal. Before activating it, verify the customer, location, covered equipment, term, price and visit schedule. Keep the approved proposal and the resulting agreement connected in the record so the office can explain how the plan was selected.
Track renewals without implying automatic billing
Renewal reminders give the office a prompt to review an agreement before its term ends and contact the customer about the next term. They do not charge a saved payment method or automatically renew the contract. Confirm the customer's current contact details and the renewal terms before sending a message. If the plan price or included visits have changed, present the new terms clearly and obtain whatever approval your process requires. TierMenu tracks agreement status and scheduled visits; payment collection remains outside the product and should follow the methods and disclosures your company already uses.
Use the workflow within its limits
TierMenu supports maintenance plan setup, proposal conversion, generated visit schedules and renewal tracking for small HVAC, plumbing and electrical shops. It does not dispatch crews, automatically book service appointments or process subscription payments. Keep using your current scheduling and accounting systems for those tasks. Review the agreement PDF before sending it, confirm the plan description matches what is configured, and maintain an internal process for handling cancellations, missed visits and changes in equipment ownership. Generic document language is not legal advice; review it with a qualified professional for your jurisdiction.
Review the plan before the first agreement is sold
Run through a sample agreement as if you were the office employee responsible for delivering the plan. Verify the number and timing of included visits, the service tasks assigned to each visit and the equipment coverage written for the customer. Check that the agreement price and term match the plan settings and that the renewal reminder is early enough for your contact process. Ask a technician whether the listed maintenance work can be completed during the planned visit. If a plan depends on a separate dispatch step, state that in your internal process. This review connects the sales description with the service the team expects to perform later.

FAQ
Can TierMenu schedule the maintenance visits?
It generates and tracks the agreement's planned visits, but it is not a dispatch or calendar system. Use your existing scheduling process to assign technicians and confirm appointments.
Does the app automatically renew or bill the customer?
No. TierMenu can remind the office before renewal, but it does not automatically renew agreements or charge customers. Contact the customer and handle payment through your existing process.
Can I create a plan from a proposal?
Yes. An approved proposal can be used to create an agreement, carrying the selected plan and customer context forward. You can also start an agreement directly when appropriate.
What should an HVAC agreement say?
Identify covered equipment, visit frequency, included tasks, exclusions, term, price and how changes or cancellations are handled. Review the document against local requirements before using it.
Does a maintenance plan guarantee fewer breakdowns?
No. Do not promise a specific repair outcome or that maintenance prevents every failure. Describe the service visits you will perform and explain any limits in plain language.
