From approved quote to invoice in one step
When a homeowner approves a proposal, the selected option and the chosen add-ons are already on file. Creating the invoice copies the customer, the scope and the amounts across, then applies your invoice numbering, tax rules and payment instructions. You can also start a blank invoice for work that never went through a proposal. Send the PDF by email, then record the payment date, method and a note when it arrives. Status moves from draft to sent to paid, or void if the invoice is cancelled. There is no payment processing: the invoice tells the customer how you want to be paid.
Create an invoice from approved work
When a proposal has been approved, create the invoice from the selected option so the customer, accepted scope and amount remain connected. Review the approved tasks and any recorded selection before issuing the invoice. If the work changed after approval, document the change separately rather than silently altering the original proposal. You can also start an invoice blank for work that was not quoted through TierMenu. In either case, confirm the service location, invoice number, due terms, tax settings and customer contact information before sending.
Describe completed work in plain language
An invoice should help the customer identify the service visit and understand each charge. Use task descriptions that explain what was performed, and avoid vague lines that make a homeowner guess which system or area was serviced. If the final work differs from the original estimate, explain the difference and retain the approval record that supports it. Include payment instructions your company currently uses. Do not add a payment method, fee or due term unless it is accurate and permitted for your customer and jurisdiction. The app does not make legal or tax decisions for the business.
Send a branded PDF and track the status
TierMenu can generate a branded PDF and email the invoice to the customer. Draft, sent, paid and void statuses help the office see the current invoice state. Mark an invoice paid only after payment has been received through your chosen method, and void only when the invoice should no longer be collected. Status tracking is not a bank reconciliation: the app does not pull transactions from a processor or accounting system. Keep the external payment record and accounting books aligned using your existing workflow.
Keep proposal and invoice records consistent
A customer may ask why an invoice differs from a quote. Preserve the proposal and signed PDF, record changes as they occur, and make the invoice description specific enough to connect the work to the visit. If a proposal expires or the customer chooses a different option, do not generate an invoice from an unapproved scope. Check that the selected option is present and that the amounts match the approved line items before creating the invoice. This simple review catches data-entry issues before a document reaches the customer.
Use a simple invoicing tool for what it covers
TierMenu focuses on straightforward invoices for small service and replacement jobs. It does not process card payments, automate deposits, sync to your accounting ledger, handle payroll or dispatch technicians. If your company needs those features, keep using the appropriate systems and do not treat TierMenu as a replacement. Review a sample invoice, confirm the configured company details and payment instructions, and decide whether the workflow matches your bookkeeping and customer communication needs.
Check the invoice against the service record
Before sending an HVAC invoice, compare each line with the approved proposal and the work notes from the visit. If the technician replaced the original scope with a different task, record the customer's updated authorization and make the change visible on the invoice. Confirm that the company name, service address, invoice number and payment directions are current. Ask the person who handles bookkeeping to review the PDF layout and status choices. This does not reconcile money received; it helps ensure the document accurately describes the work and tells the customer how your business accepts payment.

FAQ
Can I create an invoice from an HVAC proposal?
Yes. An invoice can be created from an approved proposal and its saved customer selection. Confirm that the work and amounts match the accepted scope before issuing it.
Can I start an invoice without a proposal?
Yes. You can create a blank invoice for work that was not quoted through TierMenu. Enter a clear description, customer details, payment instructions and the correct totals.
Can customers pay online through TierMenu?
No. TierMenu does not process customer payments. Invoices can include your payment instructions, and your company collects payment through its existing method.
Does the invoice sync to accounting software?
No. Invoice records and statuses remain in TierMenu; there is no accounting sync in this version. Reconcile payments and financial records using your existing accounting workflow.
What invoice statuses are available?
Invoices use Draft, Sent, Paid and Void statuses. Update the status to reflect what has happened; the app does not verify a payment against a bank or payment processor.
